Employee Onboarding#
In this section of our handbook we will cover what our onboarding process looks and feels like, and give you a sense of what to expect upon joining amazee.io as our latest team member.
Our Onboarding Philosophy#
There is no “one size fits all" approach to every onboarding. Your lead will be tailoring your onboarding plan for your role and your individual strengths and potential development areas. However every onboarding follows some key points.
No surprises
The onboarding for your role starts the day you apply for the job. One of our main goals is to use this time even before you start, including the interview period, to prepare you for success and what to expect working for amazee.io.
Onboardings work both ways
Be vocal if something doesn’t make sense, bring your ideas to the table from day one. Importantly, we expect your feedback. Your mind is fresh. Point out the things that don’t make sense during your onboarding, or things you just don’t get, and let your lead know. This helps us improve for everyone.
Minimize noise
The less distractions you have, the more you can focus on your onboarding. This means hardware deliveries on time, zero touch tech onboardings and correct access from day one. We don’t believe in flooding you with all of the information you’ll need for your entire career from the very start. Instead we focus on making things as smooth as possible, breaking things down into smaller chunks, and hitting frequent, smaller milestones and wins.
Before you start#
The time between signing the contract and starting a new position can be full of thoughts, sometimes even nerve inducing. It's happening, you’re starting a new role, but you don’t really know what’s going on in terms of preparation behind the scenes or how you’re going to settle.
To help avoid this worry, we get you involved in your onboarding before your first day, and aim for you to have several different team members reach out to you about certain topics. This way, your first day will feel less of a “cold start”.
After you sign the contract#
Tech Order
We will get your new hardware delivered to your door before you start. The goal here is to provide you with the equipment you need to be successful in your role, and on time. So the HR & Recruitment Manager will reach out to you via a Google form shortly after the contract has been signed, to collate your hardware order (Laptop, Monitor, Peripherals etc). Once this is ordered, the IT Team will reach out to you with any delivery tracking links, or confirmed delivery dates via email.
Tell us allllll about you
Our Legal & HR Manager will reach out to you separately, shortly after you sign the contract, asking you to fill in some key administrative documents and an “employee details form”. This is so we can gather important information such as bank details so we can pay you, your preferred forms of address, and get your sweet sweet swag ordered.
That wasn’t enough, we need to know even more about you!
This is where the wonderful Marketing team makes an appearance. They will contact you via email to introduce themselves, and gather a little information about you personally, so they can put together a short blog post to welcome you to the team and network on our social channels
You’ll get a buddy check in
Every new Amazee is assigned a buddy during their onboarding period to help guide them through some of the processes, quirks, and nuances of working at amazee.io. Your buddy will reach out to you before you start to say hello and introduce themselves. Usually your buddy will be someone of a different workstream to you, but in a similar timezone, to encourage your contact and engagement with people outside of your immediate team early on.
Your personal onboarding plan
Since signing the contract, your Lead and HR have been working on an onboarding plan for you in a document. This will detail your specific goals for the onboarding period, who you will meet and why, what your initial goals and milestones will be, and what we have planned in terms of making sure you’re introduced to all the key skills, tools, and stakeholders you’ll need to get going. You’ll be sent this shortly before you start date.
Your First Day#
You’ve completed all of the pre-onboarding bits and pieces, have an idea what to expect via your onboarding document, and have already been introduced to some members of the team, but now it’s time to jump in.
Your first day is all about getting you settled, making sure you’re setup, and meeting some key stakeholders related to your onboarding, this will include:
- Starting your day with a welcome call via Zoom with your Lead, and going through the short and long term plan for your onboarding
- Meeting your buddy who will introduce you to their role and how they can support your onboarding
- You’ll be welcomed to the team on Slack and on our social media pages
- You’ll get started with introductions to the team and your role based onboarding meetings such as team introductions, stand ups, and introduction to your key stakeholders and training sessions.
Your First Week#
Your first week is designed to kick start your integration into the team, build your understanding of the tools and processes associated with your role and team, and to lay the foundations for your onboarding over the coming months.
- You won’t do much work for the first week. You’ll meet lots of people, including everyone in your own workstream and focus on getting settled into the team and finding out “who is who”.
- You’ll also have goals and mini projects to work on. These will be specifically designed for you to get used to the inner workings of the role, tools, and wider company processes.
- You’ll start your 1:1 syncs with your Lead and begin developing personalised goals for later in your onboarding.
- HR will welcome you and explain our plan for getting you settled into the culture and values of amazee.io
After your First Week#
After your first week, your role onboarding continues with further training within your workstream on your tasks and tools. You’ll also start the role “proper” and continue your cultural onboarding including:
- Start working on real world projects and tasks within your role, collaborating closely within your workstream.
- Continue being exposed to more tools and training sessions with your peers, and across other workstreams, learning about our products, services and processes, and how it all works and fits into your role.
- Meeting the CEO so you can get an overview of our goals and what the future looks like at amazee.io
- Having a catch up with HR to discuss your experiences, as well as any hopes, concerns or questions. HR will also use this to introduce you to our reviews, discuss how you can use your employee benefits, and how HR will support your career and development at amazee.io
- You’ll meet the BizOps team or “business operations”. This team will be your go-to people for many things relating to your employment. From employment policies, and your general work needs, payroll, and invoicing clients.
...and then?#
As the weeks go on, you’ll have become familiar enough with your position to understand what you’re really good at, and what you might want more support on. Your goals following your first month will reflect this, and will evolve as you get settled.
Your onboarding period will continue for 3 months in terms of actively guiding you into the role and settling you into the team through workshops, training, and general support. The reason we set this time is that if all goes to plan, and we have structured your onboarding well, then within 3 months you should have all the resources you need in terms of experience in the role related tasks, working relationships within the team, and general understanding of the position to be able to do things well, whilst still having your team and lead to support you.
At the 3 month mark you will receive an onboarding survey via Lattice. This will ask you questions about your onboarding experience, what went well, and what could be improved too. This allows us to continually improve the onboarding process for all future amazee.io employees, so any constructive feedback is very welcome!
Post Onboarding period#
Despite what we’ve said above, onboarding never really finishes. If you get to 3 months with us and don’t feel entirely comfortable in your new role, that’s normal. If we were entirely comfortable we probably wouldn’t be learning, so it’s a good place to be. After our 3 month nominal onboarding period though, there will be some changes.
- You’ll stop having an assigned buddy, as you’ll likely have a whole company of “buddies” by this point.
- You’ll start working on your own OKRs
- You’ll start taking part in our quarterly review cycles
And that’s pretty much it for onboarding!
